Job Summary

A trading/importation company is seeking a competent and experienced Female Secretary to provide administrative and executive support to the Managing Director. The ideal candidate will have a strong background in secretarial administration, importation and clearing documentation, and the ability to coordinate executive schedules while ensuring efficient office operations.

Key Responsibilities

  • Manage incoming and outgoing correspondence, emails, and official communications.
  • Coordinate and monitor clearing procedures and documentation updates.
  • Liaise with and manage clearing agents to ensure timely processing of shipments.
  • Follow up on containers and importation processes.
  • Manage foreign exchange invoices and related documentation.
  • Record accurate minutes during meetings and distribute action points.
  • Schedule and coordinate the Managing Director's meetings, appointments, and business engagements.
  • Organize logistics bookings, travel arrangements, and related administrative activities.
  • Maintain organized filing systems and proper documentation of company records.
  • Conduct internet research and gather information to support business operations.
  • Handle confidential information with professionalism and discretion.
  • Provide general administrative support to the Managing Director as assigned.

Required Qualifications

  • B.Sc., BA, or HND in Secretarial Studies, Secretarial Administration, Office Technology and Management, or a related field.
  • Minimum of 3 years' post-NYSC secretarial experience in a trading or importation company.
  • Strong knowledge of importation processes and clearing documentation.
  • Extensive experience in secretarial administration.
  • Proficient in internet research and digital office tools.
  • Must be hardworking, highly organized, and possess a high level of integrity.
  • Strong IT, managerial, organizational, and people management skills.
  • Ability to work independently with minimal supervision.
  • Excellent attention to detail and initiative.
  • Must be below 35 years of age.
