The Front Desk Administrator / HR Assistant serves as the first point of contact for visitors, clients, and employees while supporting human resource operations. The role requires excellent communication, organization, and multitasking skills to ensure the smooth functioning of both administrative and HR-related activities.

Job Description:

Front Desk Operations:

  • Welcome and attend to visitors courteously and efficiently.
  • Manage all incoming calls, messages, and inquiries professionally.
  • Maintain a clean and organized front desk and reception area.
  • Keep accurate visitor logs and coordinate deliveries and vendor interactions.
  • Support meeting room scheduling and ensure readiness for meetings and presentations.

Administrative Support:

  • Monitor and replenish office and cleaning supplies in collaboration with the Admin and Facility teams.
  • Handle filing and organization of office documents.
  • Maintain calendars for HR appointments, interviews, and general office activities.
  • Report office maintenance needs and coordinate with the Facility Manager for prompt resolution.

HR Assistant Duties:

  • Assist with interview scheduling and candidate communications.
  • Support new employee onboarding, including documentation, workspace setup, and welcome materials.
  • Maintain up-to-date employee records, attendance, and leave trackers.
  • Draft HR correspondence such as memos and letters under supervision.
  • Support internal engagement activities including birthdays and staff events.
  • Ensure confidentiality of all employee and company information.


Required Qualifications


  • Bachelor’s Degree in Human Resources, Business Administration, or a related discipline.
  • 1–2 years of experience in administrative, HR support, or front desk roles.
  • Prior experience in a corporate or professional environment is mandatory.
  • Proficiency in MAC OS and applications such as Keynote, Numbers, and Pages.
  • Strong communication and interpersonal skills.
  • Excellent organization and multitasking abilities.
  • High level of discretion, professionalism, and emotional intelligence.
  • Neat appearance, good grooming, and a positive attitude.
