The Administrative Secretary will support the Group Chief Executive Officer (GCEO) by managing administrative, scheduling, and communication tasks. The role focuses on ensuring smooth coordination of the GCEO’s calendar, travel arrangements, speaking engagements, and operational activities while maintaining strict confidentiality and professionalism.

Key Responsibilities
Manage the GCEO’s calendar, including scheduling meetings, appointments, and events
Coordinate travel arrangements such as flights, hotel bookings, and local transportation
Arrange tickets, bookings, and logistics for trips and official commitments
Work with the communications team to secure speaking engagements and prepare presentation materials
Communication and Liaison:
Serve as the main contact point for the GCEO, handling calls, emails, and requests
Draft official correspondence, memos, and internal communications
Maintain professional relationships with partners, vendors, and key stakeholders
Speaking Engagements and Preparatory Support:
Coordinate speaking engagements from scheduling to post-event follow-up
Prepare presentations, briefing documents, speeches, and related materials
Provide the GCEO with research, statistics, and relevant insights ahead of engagements
Administrative and Operational Support:
Maintain organized digital and physical filing systems
Track meeting action points and follow up on assigned tasks
Conduct research and prepare reports to support executive decisions
Handle additional assignments that support executive productivity
Executive Lodge Oversight:
Supervise operations at the executive lodge and manage lodge staff
Coordinate with vendors to ensure efficient lodge services
Oversee renovation or maintenance projects as required
Confidentiality and Professionalism:
Handle confidential information with discretion
Maintain high standards of professionalism and ethical conduct
Required Qualifications
Bachelor’s Degree in Business Administration, Office Administration, or a related field
Minimum of 4 years experience in an administrative secretary or similar role
Strong organizational and time management skills
Excellent communication and interpersonal abilities
Proficiency with tools such as Google Suite, Zoom, and Slack
Strong analytical and problem-solving skills
Ability to handle confidential information responsibly
Proximity to Victoria Island is an advantage
