Job Summary

Elizabeth Maddeux Limited is recruiting on behalf of a client in the pharmaceutical sector for a proactive and experienced Admin and Facility Officer. The role involves supervising administrative functions and facility operations to ensure a safe, compliant, and efficiently managed work environment within a regulated pharmaceutical setting.



Key Responsibilities

Oversee daily administrative operations and support services


Coordinate procurement of office supplies, consumables, and essential services


Maintain accurate records and documentation in compliance with regulatory and company standards


Facilitate internal communication and departmental coordination


Supervise maintenance of office spaces, warehouses, laboratories, utilities, and other facilities


Liaise with vendors, contractors, and service providers for repairs and preventive maintenance


Ensure cleanliness, waste management, and pest control align with pharmaceutical hygiene standards


Monitor compliance with health, safety, and pharmaceutical industry regulations


Maintain documentation required for audits, inspections, and compliance reviews


Keep an updated asset register for equipment and facilities


Track asset usage, servicing schedules, and replacement needs


Monitor vendor performance and support administrative budget tracking


Prepare periodic reports on facility status, incidents, and maintenance activities


Provide administrative support during company meetings, events, and inspections




Required Qualifications

Minimum of a Bachelor’s degree or HND in Business Administration, Facilities Management, or a related discipline


Two to four years relevant experience in administration or facility management


Experience in the pharmaceutical or other regulated industry is an added advantage


Strong organizational and multitasking abilities


Good understanding of facility management practices


High attention to detail with strong problem solving skills


Effective communication and interpersonal skills


Ability to work independently and within a team


Basic knowledge of health and safety regulations


Proficiency in Microsoft Office applications
