Job Summary

Elizabeth Maddeux is recruiting on behalf of a reputable organization in the pharmaceutical industry for a highly organized and proactive Personal Assistant. The successful candidate will provide comprehensive administrative, operational, and personal support to senior management, ensuring the smooth coordination of executive activities and maintaining strict confidentiality at all times.



Key Responsibilities


Manage and coordinate the executive’s daily calendar, appointments, and schedules for effective time management


Prepare, edit, and format reports, presentations, memos, and official communications


Handle incoming and outgoing correspondence including emails, calls, and letters professionally


Maintain organized physical and electronic filing systems for easy document retrieval


Monitor office supplies and coordinate timely replenishment


Support data entry, record keeping, and document control in line with company policies and regulatory standards


Serve as the primary liaison between the executive and internal or external stakeholders


Anticipate needs and proactively resolve issues before they escalate


Handle assigned personal or confidential tasks with discretion and professionalism


Schedule and coordinate meetings, conferences, and appointments


Prepare meeting agendas, record minutes, and follow up on action items


Arrange local and international travel including flights, accommodation, and itineraries


Draft professional correspondence on behalf of the executive


Support executive office operations to ensure deadlines and priorities are achieved


Assist in project coordination and ensure compliance with pharmaceutical industry standards and internal procedures





Required Qualifications

Minimum of OND, HND, or Bachelor’s degree in Business Administration, Office Management, Secretarial Studies, or a related discipline


Two to four years proven experience as a Personal Assistant, Executive Assistant, or Administrative Officer


Experience within the pharmaceutical or healthcare sector is an added advantage


Strong organizational and multitasking skills


Excellent written and verbal communication abilities


High level of integrity, professionalism, and discretion


Proficiency in Microsoft Office applications including Word, Excel, PowerPoint, and Outlook


Ability to work independently, take initiative, and meet tight deadlines


Strong interpersonal and problem solving skills


Attention to detail and ability to work in a structured environment
