Job Summary
Key Responsibilities
- Provide high-level administrative support to executive leadership, ensuring seamless daily operations of the executive office.
- Manage and coordinate the executive’s calendar, meetings, visitors, and communications.
- Organize and facilitate board and management meetings, including logistics, catering, document preparation, and minute-taking.
- Prepare and distribute meeting correspondence, reports, and presentations; follow up on action items to ensure completion.
- Handle travel arrangements, special events, and conference scheduling efficiently.
- Maintain confidential records and act as custodian of official documents and proceedings.
- Monitor budget and financial information; prepare data for executive review.
- Supervise and support administrative staff as needed, contributing to performance management and office efficiency.
- Represent the executive’s office with professionalism and discretion in all internal and external interactions.
Required Qualifications
- High school diploma or equivalent required (relevant professional experience or certifications may substitute).
- At least 1 year of cumulative job-specific administrative experience.
- Strong proficiency in Google Suite (especially Google Calendar); ability to learn new technologies quickly.
- Demonstrated experience managing complex executive calendars and confidential workflows.
- Excellent written and verbal communication skills with strong attention to detail.
- Proven ability to work independently, prioritize tasks, and adapt to shifting priorities.
- High emotional intelligence and professionalism in handling sensitive information.
- Strong problem-solving, time management, and organizational skills.
